This role will be centred around the operation of a small office dedicated to the cutting and supply of gemstones for premium watches and fine jewellery. The successful candidate will be part of a compact team and will liaise with other international offices.
Responsibilities:
Inventory Management
- Maintain meticulous records of stock in the office, tracking the inflow and outflow.
- Conduct quality checks on stones before dispatching to clients, ensuring they meet our standards.
- Accurately photograph stones for communication purposes.
- Manage inventory via our stock management system (training provided).
- Conduct regular stock control checks and inventory audits.
Customer Relations
- Foster and sustain relationships with existing and new clients.
- Always maintain a proactive and positive demeanor with clients.
Administrative Tasks
- Prepare customer invoices and conduct bank reconciliations.
- Maintain account receivables and payables and prepare figures for the accountant.
- Manage paperwork for the accountant.
Order Management
- Process orders and facilitate communication to the appropriate parties.
- Monitor order progress and adherence to schedule.
- Liaise between factory, internal administration, and customers.
Quality Assurance
- Ensure incoming goods match orders.
- Accurately measure and verify the colour and purity of stones.
- Report any discrepancies prior to dispatching stones to clients.
Product Photography
- Capture clear and detailed images of stones using a mobile phone.
- Transmit these images for communication purposes.
Shipping Management
- Handle all administrative aspects of shipping to ensure a seamless and timely process.
- Oversee the import and export of merchandise, including coordination with suppliers and shipping companies.
- Ensure adherence to proper paperwork and procedures for both import and export.
- Package goods securely and efficiently.
Administrative Accounting
- Maintain an organized filing system.
- Issue invoices and follow up on payments.
Communication
- Maintain open and effective communication with team members, customers, and suppliers.
- Ensure timely communication and follow-ups on all projects and inquiries.

Salary: CHF60,000.00 - CHF70,000.00 per year
