Purpose of Job:
Coordinate for administrative support for Center Management department as well as accounts receivable functions.
Key Responsibilities and Accountabilities:
- Manage records of maintenance history and ensure that cyclical maintenance jobs and records are maintained up to date.
- Assist to response tenants’ complaints or enquiries either via phone calls, emails and/or direct contact reporting maintenance/repair issues, bookings of common area/facilities and forward to the Building Manager.
- Coordinate the administration of office work by ensuring occupancy status and emergency contact is up-to-date at all times.
- Implement and compile the day-to-day functions of the billing, charges and refund on timely manner from various collections such as service charge, management fees, renovation deposits, etc.
- Support to keep an up-to-date aging report and reconciliation report for receivables balances.
- Keep positive relations with owners, occupants, contractors & Management Corporation (MC)
- Any other related duties as may be assigned from time to time by the Management
Principal Challenges:
- The potential to meet property administration and billing objectives by rectifying defect(s), maintaining property standards, answering enquiries, preparing & reconciling collections report, and initiating corrective actions.
- The ability to perform a variety of complex administration and billing duties effectively and efficiently.
- The capability to communicate in a positive and effective manner with various stakeholders, both internally and externally, and understand the organization’s Center Management objectives.
- The ability to work under pressure and to handle various types of tenants and suppliers.
